Buyer FAQ

Field service software, answered

Direct answers to the questions service business owners ask before choosing software: what it costs, which features matter, and how scheduling, routing and billing should work.

Choosing field service software

What is field service management software?

It is software that runs the work done at customer locations: scheduling, dispatch, routing, work orders, estimates, invoicing and payments in one system. It replaces the mix of calendars, spreadsheets and separate billing tools most small service companies start with.

When does a service business need field service software?

Usually once you have more than one technician or more than a few dozen recurring customers. That is when double-booking, missed follow-ups and unbilled work start costing more than the software does.

What features matter most in field service software?

Scheduling and dispatch, route optimization, recurring service plans, a technician mobile app, estimates and invoicing, card payments with autopay, and customer texting. Trade-specific needs, such as chemical records for pest control, decide between otherwise similar products.

What should I ask in a field service software demo?

Ask the vendor to show you, live, how they void an invoice, issue a credit and refund, re-route a day around a new emergency call, and report revenue per technician. Those four answers reveal more than a feature list.

Demo questions

How much does field service software cost?

Prices range from free plans for solo operators to several hundred dollars a month for larger teams, and some vendors only quote on request. Check whether pricing is per user, per technician route, per job volume or per account, and what is held back for higher tiers.

Is all-in-one software better than separate tools?

For most service companies, yes: one customer record across scheduling, billing and texting removes double entry and the mistakes it causes. Separate tools make sense only when one specialized need is far more important than everything else.

Scheduling and routing

How does route optimization save money?

It reorders each technician's stops to cut drive time while keeping customer time windows. Less driving means more jobs per day, lower fuel costs and fewer overtime hours.

Can software handle both recurring routes and emergency calls?

Good field service software can: recurring visits are generated from plans in advance, and an urgent call can be inserted into a technician's day with the remaining stops re-optimized around it.

What is the best way to schedule recurring service?

Set each customer's frequency and preferred day once and let the software generate the visits. Manually booking every repeat visit is where missed appointments and unbilled work come from.

Recurring services

Billing and payments

How do I get service customers to pay faster?

Invoice from the job the moment it is done, accept cards online and on site, and enroll recurring customers in autopay. Automated reminders handle the rest without office staff chasing payments.

Should invoices be editable after they are paid?

No. Once money moves, an invoice's amounts should lock, and corrections should go through a void, credit memo or refund. Otherwise revenue, receivables and sales tax reports can change after the fact.

Does field service software handle sales tax?

Most do at the invoice level. Look for tax rates set per customer or location, tax-exempt customers, and reports that match what you actually collected for each filing period.
